UPDATING OF DATES AND COMMUNICATION FORMATS

We continue to move forward in the organization of the VIII Iberian Congress of Ichthyology and the dates of celebration are getting closer. This task requires a great effort and a high investment of time, so we strongly ask for the maximum collaboration in the fulfillment of the deadlines and the technical recommendations set out in this new newsletter.

To date, 80 participants have registered for the congress. However, we have only received 20 abstracts. The number of communications will probably be much higher, so we assume that many are delaying the submission until the deadline. Due to the new format and the technical work that this requires, this is a serious setback for the organization. Therefore, from this moment on, the deadline for the reception of the communications is opened. The deadline for sending abstracts is 29 May and it is essential that the organization receives the communications before 5 June. Please do so as soon as possible as it will be technically impossible to extend these dates.

There is the possibility of changing the communication presentation format, from poster to oral and vice versa; it is up to the congress participants to decide. For this purpose, the authors will be required to send a PDF file with the poster, of free dimensions but allowing a good reading, and for the oral communication modality it will be necessary to provide a video, of a of a maximum of 15 minutes, with the presentation.

The e-mail address to send the pdfs and videos is ehecusc@usc.es. Still, those who have not yet submitted an abstract must do so using the form on the congress website.

All of them are easy to use and tutorials can be found on the web in abundance. If you still have difficulties, please contact the organization at ehecusc@usc.es.

Communications of the VIII Iberian Congress of Ichthyology will be disseminated maintaining the structure in thematic areas. Registered congress participants will be able to access them through a virtual platform during the congress dates (June 15-19).

The afternoon of the 15th will be reserved only for the opening session in streaming, in which the congress will be presented and the last instructions for the follow-up of the sessions will be given. The 16th, 17th and 18th will be dedicated to discussions via chat of each of the communications presented. The morning of the 19th will be reserved for the two workshops on aquatic invasive alien species, in the form of a "webinar", the afternoon will be dedicate to the General Assembly of the SIBIC and the presentation of the next SIBIC 2022 congress.

Dear Friends,

In view of the new situation in the states of control of the COVID-19 decreed by the Governments of Spain and Portugal, and the trend towards a return to normality limited by social distancing, the Organizing Committee decided to take up the challenge of holding the SIBIC 2020 congress virtually, relying on telematic resources. The success of this initiative depends very closely on the collaboration of all the participants, so we appreciate the careful reading of this information note.

The dates of the congress remain the same, but the deadline for registration and submission of abstracts has been extended to 29 May.

Under this new modality, commitments with sponsors will be maintained and both participation and presentation of communications will be certified. The book of abstracts will be published as a special issue of GalHidria, the journal of the “Asociación Galega de Investigadores da Auga” (AGAIA), in paper and digital format. The offer of publication of the full communications as scientific papers in Hydrobiology is maintained, in the same conditions that had been announced and that appear in the web page of the congress.

Communications, both oral and panel, will be disseminated maintaining the structure in thematic areas. The congress participants will be able to access them through a virtual platform during the congress dates (June 16-19). For this purpose, authors will be required to send PDF files with the panel. For the oral communication modality, it will be necessary to provide a video with the presentation. The procedure for the latter, and an offer of the necessary technical support, as well as and the deadlines will be communicated in due course.

Paper documentation, certificates, printed abstract book, etc. as well as promotional information from sponsors will be sent to participants by regular mail.

Registration fees will be revised, excluding the services that will be not offered. The proportional amount will be refund to those who have already made the payment. In the case of voluntary resignations, the cancellation policy remains unchanged: for cancellations received before 19 May 2020, a full refund of the payment will be made, minus an administrative fee of 50 €. After that date, no refund requests will be accepted. Bank charges related to refunds will be borne by the registered participant.

Dear Friends,

We inform you that the dates of the congress remain the same but the deadline for registration and abstracts submission has been extended to 29 May. Please do not delay it, it will be technically impossible to extend this deadline.

New registration fees:

SIBIC members: 90 €

Non-members: 120 €

Young members and students: 50 €

The proportional amount and the corresponding amount for the congress  dinner will be refund to those who have already made the payment.

The deadline and procedure for sending posters and oral communications, as well as the necessary technical requirements, will be communicated in a timely manner in a future notification.

Since the new format requires that the post-presentation round of questions or comments be made in writing, the vehicular languages are extended, in addition to Portuguese and Spanish, to French and English. Therefore, posters and oral presentations may be done indistinctly in any of them. However, the organization will not check the grammatical, syntactic, or conceptual level of the language in which the contributions are written.

CORONAVIRUS UPDATE

Given the states of alarm and alert decreed by the Governments of Spain and Portugal, respectively, for the control of the disease (COVID-19) caused by the new coronavirus (SARS-CoV-2), the organization of the VIII Iberian Congress of Ichthyology has restricted its activity. In order to meet the social distancing orders and to facilitate the family conciliation for the members of the organizing committee and the administrative support staff.

In the event that the academic or political authorities decide to cancel the Congress, the registration fees will be fully refunded, and the bank expenses related to the refunds will be paid by the organization of the Congress. In the same way, if this situation of exceptionality were to end before the Congress is held, but on a date after 19th of May, the organization would be forced to suspend the Congress either way. Since there would not be enough time to take back the commitments with the auxiliary companies which, in addition, would not be able to guarantee the services and supplies.

In the case of voluntary resignations, the cancellation policy remains as previously stated: Cancellations received before 19th May 2020 will be refunded in full, less an administrative fee of 50€. Bank charges related to refunds will be covered by the registered person.

If the Congress is finally cancelled, no alternative date will be proposed, and the Organizing Committee will waive the right to take charge of a new edition.

On the deadline for abstract submission

Please note that although the deadline for receipt of abstracts has been set for the 15th of May 2020, submission should be expedited and made as soon as possible. The date referred to is the "deadline" and will not be extended. Abstracts will not be accepted after the deadline. Therefore, they will not appear in the abstract book and the corresponding communications will not be accepted for presentation during the congress.
